The Baseball Mind ("we," "us," or "our") operates The Baseball Mind mobile application and web application (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, do not use the Service.

1. Who We Are

The Baseball Mind LLC is a Florida-registered limited liability company. We operate a defensive baseball education app that teaches players and coaches proper defensive responsibilities through interactive quizzes.

2. Information We Collect

We collect the following categories of information:

2.1 Information You Provide to Us

  • Account Information: email address, display name (optional), authentication method (email/password, Google Sign-In, Apple Sign-In)
  • Profile Data: first name, primary position, age range (optional), team affiliation code (optional), referral code (optional)
  • Quiz Progress: your answers, XP earned, achievements unlocked, positions played, streak counts, session history
  • Subscription Information: purchase records processed by Apple App Store or Google Play (we do not collect or store payment card numbers)
  • Communications: any messages you send to us through our support channels
  • Prize Fulfillment Information (winners only): provided only if you win the weekly leaderboard prize described in our Terms of Service, and used solely to ship that prize to you. For a winner under 13, we collect this from the winner's parent or guardian, consistent with Section 6 of this Policy.

2.2 Information Collected Automatically

  • Device Information: device type, operating system version, unique device identifiers, mobile network information
  • Usage Data: app screens visited, features used, time spent in app, crash reports
  • Log Data: IP address, timestamps of use, error logs

2.3 Information from Third Parties

  • Firebase Authentication: if you sign in with Google or Apple, we receive your email address, display name, and unique identifier from that service. We do not receive your password.

We do NOT collect:

  • Payment card numbers (processed by Apple/Google/RevenueCat only)
  • Precise location data (GPS)
  • Contacts, photos, or other device data
  • Biometric data
  • Audio or video recordings

3. How We Use Your Information

We use the collected information to:

  • Create and manage your account
  • Provide the Service's core functionality (quiz gameplay, XP tracking, cross-device sync)
  • Personalize your experience (recommend positions to practice, track progress)
  • Process subscriptions and payments (via Apple, Google, RevenueCat)
  • Communicate with you about the Service (support, updates, feature announcements)
  • Improve the Service (analyze usage patterns, identify bugs, refine content)
  • Prevent fraud, abuse, and security threats
  • Comply with legal obligations

We do NOT sell your personal information to third parties. We do NOT use your data for third-party advertising.

4. Sharing of Information

We share information only in the following circumstances:

4.1 Service Providers

We use third-party services that process data on our behalf under strict confidentiality obligations:

  • Google Firebase (Authentication, Firestore Database, Cloud Functions, Analytics, Crashlytics) — hosted by Google LLC in the United States
  • RevenueCat (subscription management) — hosted by RevenueCat, Inc. in the United States
  • Apple App Store / Google Play Store (app distribution and subscription processing)

Each of these providers has their own privacy policies governing their use of your data.

4.2 Legal Requirements

We may disclose your information if required to do so by law, court order, or valid legal process, or to protect the rights, property, or safety of The Baseball Mind, our users, or others.

4.3 Business Transfers

If The Baseball Mind LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

4.4 With Your Consent

We may share information for other purposes with your explicit consent.

5. Data Retention

This is our written data retention policy. We retain each category of personal information described below, including information collected from children under Section 6, only for as long as necessary to serve the specific business need stated for that category, and no longer.

  • Account Data: retained while your account is active and for up to 90 days after account deletion, to allow account recovery and to meet our legal recordkeeping obligations
  • Quiz Progress: retained as long as your account exists, to preserve your XP, achievements, and progress across sessions and devices
  • Log Data: retained for up to 12 months, to diagnose technical issues and maintain the security of the Service
  • Subscription Records: retained as required by tax and financial regulations, typically 7 years, to meet those legal obligations

6. Children's Privacy (COPPA Notice)

The Service is designed for baseball players and coaches of all ages, INCLUDING children under 13. We take our obligations under the U.S. Children's Online Privacy Protection Act (COPPA) seriously.

6.1 Play as Guest (Default for Children)

Users may play the Service without creating an account or providing any personal information. This "Guest Mode" stores progress only on the local device and collects no personal information. We recommend Guest Mode for all users under 13.

6.2 Verifiable Parental Consent

Children under 13 who wish to create an account must have verifiable parental consent. When an account creation flow indicates a user is under 13, we will:

  1. Notify the parent via the provided parent email
  2. Require verifiable parental consent before enabling account features
  3. Allow parents to review, delete, or refuse further collection of their child's information

6.3 What We Collect from Children (with parental consent)

  • Email address (parent's, for account recovery)
  • Display name (child's, may be a nickname)
  • Quiz progress and XP
  • Device information for security purposes

We do not collect: precise location, real name (only nickname), phone number, photos, or any other personal information from children beyond what is necessary for the Service.

6.4 No Advertising or Behavioral Tracking for Children

We do not display advertisements to children. We do not use children's data for behavioral advertising or profiling.

6.5 Parent Rights

Parents may:

  • Review the personal information collected from their child
  • Refuse to permit further collection or use of the child's information
  • Delete the child's information and account

6.6 How We Screen Age

At the point a user first attempts to create an account, or otherwise proceed past the position-selection step of onboarding, we require the user to affirmatively confirm, by checking a required box, that the user is 13 years of age or older or that verifiable parental consent has been obtained as described in this Section 6. This screen is presented in a neutral way and does not suggest or encourage entering an inaccurate age. A user who does not make this affirmative confirmation is directed to Guest Mode instead of account creation. A user whose age is never affirmatively confirmed receives the same protections under this Section 6 as a known child under 13.

6.7 Internal Operations Exception (Analytics and Crash Reporting)

We rely on COPPA's "support for internal operations" exception to collect a persistent identifier from a child's device without obtaining verifiable parental consent, limited to the following third parties and the specific internal operation each supports: Firebase Analytics (Google LLC) — to understand app usage patterns and improve the Service, without behavioral advertising or profiling of any user, including children; and Firebase Crashlytics (Google LLC) — to receive crash reports and diagnostic information so we can identify and fix defects affecting app stability. Neither service is used to track a child across third-party sites or services, to build an advertising profile, or for any purpose beyond the internal operations described here.

7. Your Rights and Choices

Depending on your location, you may have the following rights:

7.1 Access and Portability

You may request a copy of the personal information we hold about you.

7.2 Correction

You may correct or update your account information at any time through the app's Settings screen.

7.3 Deletion

You may request deletion of your account and personal information at any time by contacting tanner@thebaseballmind.com or by using the "Delete Account" option in Settings (when available).

7.4 Opt-Out of Marketing

We do not send marketing communications by default. If you opt in to marketing emails, you may opt out at any time via the unsubscribe link in each email.

7.5 California Residents (CCPA/CPRA)

California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to non-discrimination for exercising rights. California residents also have the right to correct inaccurate personal information, the right to opt out of the sale or sharing of personal information (we do not sell or share personal information, so there is nothing to opt out of today), and the right to limit the use of sensitive personal information. We do not believe we collect "sensitive personal information" as the CCPA/CPRA defines that term; if that changes, we will update this Policy accordingly. You may also designate an authorized agent to submit a request on your behalf. In addition to this Policy, we provide a short notice at the point we first collect your information, such as on the account creation screen, describing the categories collected and the purpose, consistent with California's "notice at collection" requirement; that notice supplements, and does not replace, this Policy.

7.6 European Users (GDPR)

The Service is intended for users in the United States and Canada at this time. We do not direct our marketing to, and do not intend the Service for, individuals located in the European Union or European Economic Area. If you are located in the EU or EEA and choose to use the Service, contact us at tanner@thebaseballmind.com and we will address your request consistent with applicable law.

8. Data Security

We implement industry-standard security measures to protect your information, including:

  • Encrypted data transmission (HTTPS/TLS)
  • Secure authentication via Google Firebase Auth
  • Firestore Security Rules restricting data access to authorized users only
  • Regular security reviews and updates

However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security. You are responsible for keeping your password confidential.

If we become aware of a data breach affecting your personal information, we will notify you and the appropriate authorities as required by applicable law.

10. International Data Transfers

The Service is operated in the United States. If you use the Service from outside the United States, your information will be transferred to and processed in the United States, which may have data protection laws different from those in your country. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be effective when posted with an updated "Last Updated" date. Material changes will be announced within the app.

For significant changes affecting children's data, we will obtain new parental consent as required.

Your continued use of the Service after changes constitutes acceptance of the updated policy.
